Video Transcription

Good morning, and welcome to another edition of Tech Tuesday, presented by Delta Media Group, where when came up with a new colorful version of the [Deltanet 00:02:23], well, our hearts grew three sizes that day.

Today, we're gonna go and we're gonna take a look at the seller reports. We've done videos on the seller reports before, so this will be a refresher for a lot, when it comes to setting them up, but we added some new functionality to them. We wanted to take a look at that. We'll see if my test lead pushes it through the way I want it to.

But the idea is that seller reports, in addition to showing all the traffic on a listing, will now also show how many leads have come in on that listing, if any have come in on that listing. If no leads have come in on that listing since the last seller report went out, it won't show any. If some have come in, it will show how many.

Let's go into the Deltanet, and set up some seller reports. Here we are on the home layout page, the welcome page to the Deltanet. To set up a seller report, now I'm gonna scroll down down and click on "listings," and "active listings". Now from here I can see all my currently active listings. In this case, this is all test data, so these are actually pocket listings. But yours will probably be the listings that you've entered into the MLS.

And if we want to set up a seller report for one, I'm gonna click on "marketing" and then here's a section that says "seller reports". You can see I already have one set up for this listing, so we're gonna set up another one. I'll click here, and there we go. This is our seller report creation page.

What this will do is because I have a seller report set up already, we can see the seller report that's already here, if I click the little plus sign I can buttons to modify, delete it, anything like that. I'll go ahead and delete it, because why not? Delete, there we go. Now if I wanna set up a new one, I can click "set up report to seller" or "set up report to just the agent".

What we'll do first is I'll go back to this page, just so you can see when there is no seller report set up, what this looks like. With none set up, I'll click on marketing, and under seller report, it just says, "None set," instead of saying which one is set and who it's set to go to. We'll click on "none set," and in that case because there is none to show, it takes us straight into the setup wizard. We have some information, this is actually an old screenshot of our old seller reports.

At this point we can decide if we want to set one up for the seller or one that goes just to you. We'll say "set one up for the seller," and you can change that later on too, so that's kind of important here. And Mr. Seller, why not? I'm feeling very creative this morning. What I'm doing here is I'm entering the customer information for the seller. What it's gonna do is if that person already exists in my customer center, this is gonna find him and attach the seller report to their account. If they don't already exist in the system, then it's gonna create an account for them.

Alright, next step. Here we go. Step two. In this case, it found a seller that it thinks might be the right one, it may or may not be correct, so what it's gonna do is try to find a match. If it did find a match, you just check the box and click "next step," and that will add the seller report to that person. If that's not a match, you'll just leave it unchecked and go to "next step," And choose [inaudible 00:05:46] one that I apparently didn't choose. Stand by.

Mr. Seller. Here we go, apparently it just didn't like that. Okay. In this case, we'll add it to that. Now, this allows us to choose who this seller report goes to. By default it's to the seller with a copy to the agent. If I want, I can set that to go just to the seller, and this is gonna send out automatically every week. You can actually set up more than one if you want. What some people will do, is you can set up one that goes to seller on Wednesdays, and then set up one that goes to just yourself on Tuesdays. That way, if you get the seller report on a Tuesday, and you decide you don't wanna send it to the seller, you can switch it off before it goes to them. It just gives you some flexibility there.

In this case we'll leave it on seller with a copy to the agent. What that's gonna do is on the same time every week, it'll send to both. It sets it as Tuesday by default, because today is Tuesday. It sets it to the current day. You can switch that to whatever you would like. We'll go ahead and say Mondays, why not? And then we can change the frequency out a little bit if we want. Like I said, by default it's weekly, but you can do bi-weekly or monthly also. We'll leave that on weekly. We can also determine which day we want it to send for the first time. Let's say we wanna wait and send it on next Monday.

The next thing we can do is on these seller reports, in addition to showing a little information about the listing that you set it up for, it'll show some information about [inaudible 00:07:27] properties, and ... it can also show, I think, open houses. But we'll take a look at the template page and get a better idea. But it'll show some other listings on there.

And if you want to modify the kind of listings that it shows, so instead of letting the system just decide what's comparable, you can use these fields here to customize what criteria you want it to look at for comparable listings. We've got minimum, maximum price, square foot, bedrooms, bathrooms, and you can see the little bit of information below each of these fields that tells us what criteria it's going to look at for those comparable listings now. Within 30% of the price either way, 15% on square footage, same number of bedrooms or more, same number of bathrooms or more.

And then we can also break it down by property category, and even break it down by location if we want. If we wanted to force it to narrow down to just a certain ... zip code in here, or city in here, you can do that by selecting the area type. Say if we wanna do city, and then if I click down here, I can actually type in and then select from the auto completer the city that I want this thing to pull its comparable listings from. I'll go ahead and switch that back to none, and finish. There we go, that creates our report.

Now, we can see what our report looks like, I'll just click the plus sign here, and send now. You can do that to send yourself an example, and this will also send one out to the agent at the same time, or the seller at the same time. So, if you set it to go to both, when you hit "send now" it's gonna fire that one off. Or you can send just yourself a preview email, in which case it will fire that off just to you. That's how you get the seller report set up.

Now, to customize them a bit, let's scroll down here and go to "preferences" and "email messages". From here we're looking for seller reports on our list. There we go, seller report options all the way at the bottom. We'll click the arrow, and that opens up the interface that allows us to change all the options of what shows up on our seller reports. What these show in total is competing listings, and you can turn those on or off if you want, all those fields that we put on the seller report, we'll customize what kind of listings it looks at there.

You can choose whether or not it will show a pending listing section, you can choose whether or not it will show a sold listing section if you have data for sold listings, but the site has to have the sold listing data for it to be able to handle those. You can also decide whether or not to choose the web crawler views. What it's gonna show by default are views to this detail page by an actual person, but you can include how many web crawlers have crawled over that particular listing detail page as well.

And lastly you can choose which template you want these to go out with. In general, it should be set as three by default, but you'll wanna make sure to set it to three, that's our newest template. And you can see from the design of the template that it's a more updated design. Update traffic report templates, and there you have it. That is how you set up seller reports.

Listings, active listings, marketing, and then one report to seller and agent, is how we get back to our report if we wanna make any modifications to it, or force it to send out immediately, or ... even see a history on it. We can see in this case, we've sent one out, because I sent a preview also, but it's not gonna count the preview in here. But I forced one to go out manually. This is when I sent it, and you can tell at this point it's never been opened, never been clicked on.
