Harley Wolfarth walks you through the revamped and revised transaction system found in the DeltaNet in this episode of Tech Tuesday. Learn how to utilize those transactions in the automated systems found in the DeltaNet.

Video Transcription

Good morning and welcome to another edition of Tech Tuesday presented by Delta Media Group, where no matter what the mainstream media tells you, Harry Potter is not a Christmas movie, Die Hard is.

So today, we're going to take a look at our sort of revamped and revised transaction entry system. I call it a system. It's really just a widget. On the customer profile pages, you can now add transactions to customers in a way that is a bit more intuitive and then it's those transactions that are ultimately used for some of the automations and things in the platform. So let's go in and take a look.

Now, what we'll do is we're just going to go to a customer profile page and then the widget exists on that page and that's where we'll put the transactions in. So, I'm going to go down here to customers and the customer center. Now, there are a dozen ways to get to a customer profile page, but the customer center is typically the quickest and easiest.

Now, we're going to scroll down here. We have our hot new customer section. So this would just be customers with some recent activity. And if we go down a bit further, we have our customer detailed list, so this is all of the customers in the platform. And then I can narrow this down as I want, so I could go by groups or labels. In this case, I'll go ahead and type in a name and we can see that it automatically filters down to the contact entry with the matching name, so I'll click on that. You can see I have lots of market watches and save searches and properties and things for Princess Vespa, so I use this one for testing a lot.

And now here we are on the customer profile page. If I scroll down a bit, you can see we have a new widget down here labeled saved transactions. So anything that you knew about saved properties at this point is still there, so that stuff's still is in place, still works. But now, you have the ability to add transactions that are not necessarily related to a listing that was on MLS. So this could be entering an old transaction for a customer, something that there's no longer data for or no longer data in our system for or it could be just some transaction that took place outside of the MLS data that we have here and you can work out different scenarios for that. But long story short, you don't have to put in an MLS ID and associate it with a listing. You just put in an address and the information and let it go with that. So I'm going to go ahead and click on add a transaction. You can see, I can put an address in here.

Is that how you spell Timbuktu? Probably not. I don't think there's a Timbuktu in Ohio either, but we know what we know, right? I can tell you that 44688 ... there we go 44688 is the zip code for Waynesburg, Ohio. So if you're interested, I don't live in Waynesburg, Ohio. I just happened to know that that's the zip code and not because I've been writing Christmas cards to people in Waynesburg, Ohio recently. I just lived there 10 years ago, so I remembered.

Anyway, so you enter in your property address. Again, this doesn't have to be related to any listing that's coming from the MLS. It's just a completely free-form property address. So you can enter whatever you need to there and then you can define it as either a purchase or a sale. So in this case, we'll go with purchase. I mean, that's what it's on, but it amounts to the same thing either way and I'll go down here. Now, you'll want to note that once you save this, the transaction details will become read-only. So these transaction details, the type, date and price, once these are entered, they can't be edited on this, so you want to make sure you enter them correctly the first time around.

So we'll say, I purchased this or this customer purchased this on December 1st and the transaction price, let's say $250,000. There's probably is no $250,000 houses in Waynesburg. There might be. It's kind of out in the country. Anyway. And then, now we can define what type of transaction it was. So whether they purchased it as an investment property or primary residence, those features and functions are basically the same as what was in the older stuff if you're familiar with the other way to enter transactions from the MLS listings. So now that I've entered all the information, I'm just going to hit save and you can see it added it to my list here, so now it's among my list of buying and selling transactions and there you have it. So that's all it takes to put that transaction in.

Now, we've filled this out with support that we'll continue to expand it as time goes. But for now, what it's primarily used for is all of the automations, the work based off of buying and selling transactions and then will also work for Pipeline Manager. So if you do have Pipeline or your company has Pipeline Manager turned on, it will take into account these transactions when calculating and your percentage-to-goal amount. Basically, how close to goal you are based on the transactions that you've made so far in the system. And to give you a quick idea of what those look like, I'll go ahead and run over to eCards. So under customers, we can go down to eCards and flyers and then we have videos where we go over the automations in detail. But if I go over here and click on my eCard automation wizard, it is the magic wand over there ... Perfect for the Harry Potter reference, right?

So once we open our automation wizard, we can select the different types of automations. In this case, one year, five year, 10 year or overall just homeowner anniversary are all ones that use those transaction dates you have on those records. So if I go with the homeowner anniversary for example and I were to turn this automation and set it up, I would the group to this that contains customers that I have those transactions entered for, it would pick up when they last bought a property. And then on the yearly anniversary, it would fire off this eCard automatically and you can just see happy homeowner anniversary, so those dates are used for that.

And then the second thing they are used for is if I go to customers and then down here to campaigns and action plans and I were to build out an email campaign and I'll just use one of the existing ones for the sake of an example. When I add my new campaign, I have the option to add new emails to it, so I'm going to say new email and then new email again. And then from here, I can select birthday, which looks at the customer's birthday, but what pertains here is I can select the purchase anniversary. So this is also going to look at those same transactions to figure out what that customer's purchase anniversaries are or purchase anniversary dates are to know when to send them this email. And then I'll set up my email accordingly and that every time that transaction date for that purchase property comes around for that customer, they'll automatically get this email as long as they're added into this campaign.

So, there you go. That is how you enter transactions into the system. At this point, again, those are for transactions that aren't necessarily related to a listing at the MLS since you can just kind of free-form that address and there you have it. From there, once you have those entered, the system can automatically start sending those out and automatically include the information or the prices from those transactions into your Pipeline and Pipeline Manager as well. If Pipeline Manager is turned on for you, you can find that under home and welcome.

And then we are making updates to the system kind of as we go. But this is the sales pipeline area and then down here in the goal area is where it includes that information, so there you have it. As always, kind of a short one today. I guess not as always. It's not always a short one, but kind of a short one today. But as always, thank you for joining me and if you have any questions, concerns, or comments, feel free to send an email into support@deltagroup.com or give us a call and we'll be happy to walk you through whatever you need or answer any questions, so thanks for joining me and I will see you again next week.
