This week, Harley goes over a Market Watch Report update.

Welcome to another Tech Tuesday presented by DELTA Media Group, where we just found out why Chuck Norris doesn't tell any jokes. No one would survive the punchline. So today, we're going to take a look at market watch reports. So to just give you a little background, a market watch report is a report that you can set up for a customer either on an individual basis or now you can set up in bulk. So you can set one up and attach it to multiple customers or set it up and share it on social media.

Harley:

In those reports, it lays out both sample properties from the market that's chosen and the market could be a city or a county or a subdivision or a school district or even just a map area you've defined. But it will take sample properties from that area as well as market statistics from that area and lay them all out in a nice aesthetically pleasing report so that your customers can get information on the markets that they are either interested in buying or selling in. Now, because it is just market information, we find that even for past clients that aren't actively in the market, these market watch reports can still be very useful or still be of interest to those customers as well. So it's a good idea to have everybody set up for a market watch report.

Harley:

Now, as I mentioned, there are two different kinds. So the first kind is, we'll call it the personal market watch report. This is a report that would be set up for a specific customer on an individual basis and you can really fine tune those to criteria that customer's interested in. Or if it's a current homeowner in that market and they're interested in what the market's doing and other properties that are similar to their own, you can really fine tune the market watch report criteria to their property which can be particularly engaging to them. So, to set those up, the first thing you do is go to a customer's profile page. The easiest way to do that is just type their name or email address up here in the quick search bar, if I can type. There we go. And they pop up in the auto completer and now we can just click on their name and that takes us to their profile page.

Now, another way to get here would be, I could go over to CRM. I could go to my customer center, find them on that page and click on their name and that would take me here as well. Or I could go to customer list and I could search for them that way. So either way, once you found your way to this page, you can scroll down to the save searches and market watch report section and from here, you can see I've got a save search and a market watch report set up already for this customer but we'll go ahead and set up another one. So I'm going to click, add market watch and at this point I can choose how I want to define my market. So if I say by market, it lets me actually, put in a market name and then the auto completer will allow me to select whatever matches we have data for or whatever matches to your search term that we have data for if that works.

Harley:

So you would type in as you can see here, a subdivision, a city name, a school district name. You can type a county in here and it'll bring up an auto completer and you just choose from that list. So from there, you can go through and fill out the rest of your criteria. Now, the next thing you can do is, we can add a market watch report and we can do the same thing by radius. So we'll say by radius, you can see it's grayed out in the background here and that is because my radius is bigger than the map but now I can grab that little handle and I can make my radius smaller, I can make it larger, I can drag it around the center. And what this will do is all the properties that are within this circle, that data will be included in this market watch report.

The next way I can define my market is by shape. That is exactly the same as radius, only it lets me actually, draw shape. So instead of just having a circle, I can just click on points and create a polygon there other than that, it's exactly the same. The next one I have here is by boundary, so here I can select a boundary type. This is from either boundaries that have been created, like custom boundary areas that have been created at the company level that you can use but it will also include public record data for those boundary areas. So one thing that's neat here is I can say school districts and then I can select from school districts that appear on my map and you can see it actually, draws out that school district boundary line.

Harley:

So even if there was information from the MLS that came in and a property had the wrong school district on it but it lies within this map area, its data would be included in this report because it's all based on what point on the map that listing actually, shows up in. So it's a pretty neat way to do it and you can see there are a variety of different boundary area types you can choose in here. You can do whole counties, you can do subdivision, zip codes, places. Places is basically, cities so it's pretty neat. It's a nice way to be able to define a market. We'll close that one out and if I go back to ad market watch, the next thing I can do here is predefined and this kind of links through to the bulk market watches so the non-person specific ones.

Harley:

But if I want to use one of those so let's say for example, I had a lot of customers that were interested in Canton City. So I created a bulk market watch for them, I shared it on social, I connected it to a bunch of customers but this one specific customer wants a market watch for Canton City but only very specific properties, let's say properties within a specific price range in Canton City that wouldn't apply to everyone else. Well, I could go here and I could create a personal market watch but then I already have this one selected this market put together. So I could then click add. And it's just a quick way that I can set up the initial area for that market watch based on this.

Harley:

So we will close that out and I'll go ahead and say, add market watch. We'll do it by radius just to make it easy and just run through the rest of the criteria here. So once you've defined your market, you can add a custom message to that market watch. Now, these are designed to be reports that are emailed out periodically based on whatever interval is selected here so if you don't want to start sending it right away, you can set a start date. When these will start going out, let's say it's a brand new customer and you want to give them a couple of months before they start getting the market watch reports. You can just click here and you can set the start date a couple months out. Likewise, if you don't want it to continue sending them indefinitely, you want them to stop at a certain point, you can set an expiration date. That's the date that this market watch will stop being sent to that customer.

Harley:

Next, you can give it a name. Now, the system will try to name it based on the market you selected but in radius it doesn't really know where you are. It just knows that it's a map area but it doesn't have a city or a subdivision to equate to. So if I were to create one by market name and I typed in Canton, for example, the system would automatically fill this in with Canton market watch and then I could modify it as I see fit. But in this case because it's map based, you would have to type in name in here. That name as you can see, market watch will automatically be appended to the title in this field. So you don't want to type market watch in here but that'll appear in the email itself that goes out to the customer and it will also appear in this list so it's easy for you to identify it.

Harley:

Next, you can choose the interval. Generally, these are set to go out monthly by default but you can also have it go out quarterly. If you want it to go out less often, you can do semi-annually so just a couple of times a year and you can go all the way down to biweekly and even send these as often as weekly. So you can choose that on a per customer basis and a per market watch basis, you could actually, have one go out monthly and another one go out quarterly if you wanted. The next thing we have here are the property filters so this allows us to further narrow down this market watch report. So they all search a residential by default but let's say that you have a customer that's really just interested in land, you could just select that land toggle and then that's the only listing type that it will look at for the data for this report.

Next, you have the ability to exclude specific areas from the report. So let's say we're doing a residential market watch report in Canton but there are some specific subdivisions we want to leave out because they're just not representative of the market that my customer is interested in, I could list those out here and that would actually, take the properties that exist in those areas and take them out of this report. So they wouldn't be included in the data or included in the sample properties that show up on these reports. Now, all of this criteria essentially works the same way so everything in this list here, you can use to further narrow this report to make it really specific to the customer you're setting it up for. And you can see we have a toggle down here for waterfront and then the last thing we have here is a toggle that affects essentially, the sold listings that will show up in this report.

Harley:

So if we do have sold listing data for you, what you can do is use this slider to say only include listings that have sold in the last, let's say 60 days. Because the idea is if you leave this with no limit and there aren't very many properties that sell in that area, say it's a smaller subdivision and maybe just a couple properties per month sell there, this report will show a relatively, large list of those sold properties. So if there's no limit here and that area only sees a couple of sales a month then you might have sold listings showing up in this report or on this report from up to two, three years ago. And that's just really not representative of the market anymore.

Harley:

We had a very different housing market three years ago than we do today. So the idea is I can limit this so that it only shows properties that have sold within the last say 60 days. That way the only sold listings that show up on this report are those that are going to be relative or representative of what the market looks like today. So once you have this set up the way you want, you just click done and there we go. We now have a report set up, you can see Canton radius. So it did pick up the city to drop in there as the market watch title. And from here, we have it in our list so we can click on details, see some information about our particular market watch. I had it centered roughly on this address that's why that address shows there and that was my radius. I can also change the frequency here, see a preview, send, delete or I can edit which just takes me back to the page I was at where I could edit the criteria here.

Next you can see, we have some shortcuts here. We also have some customer activity which will tell us in this particular report after it's emailed out and you can see it's just going to the one customer. So after this is emailed out, did they open it, did they click through on it, how often did it send, when did it send? All that information will show up here. So now if we click on preview and from here, I can either send a preview email out. I can print it which actually, shows the print template so it is a different template used for the print version versus the email version. Or I can view it in my browser just as a quick way to see a preview. So we'll click on that, let it think about it for a moment. In fact, while that's thinking, we'll go back over here and we can click on the print one as well. It's going to have to think about this one too.

So here you can see we have our browser preview of the report so this is not the print version. This is basically what the email would look like. So with the template that I have chosen for this particular report, this is what we have here. So you can see it's just a nice report, it gives you some basic market statistics, some charts about what the properties are doing in that market as well as sample properties for homes for sale and a variety of different things will show up on here based on whatever data we have for that market. And if we take a look, this is our print preview so based on the template that I have chosen for my print market watch reports, this is the kind of print reports you get. The idea is that because it's designed to print on a single page it's got to be trimmed down as far as the amount of information it shows. But still it shows the high level information as well as a few sample properties from the market. So we'll go ahead and close our previews out.

Now, the one thing or the additional thing that you can do when you're setting up these reports, I'll go ahead and click edit on my Canton radius report. And one thing we didn't look at here is I can click on segments order and these are all of the segments that can potentially show up in those reports. So you saw that we had a just listed section, for example, when looking at those reports, we're looking at the browser preview of the email version particularly, based on whatever data we have in that market these are all of the things that are capable of showing up. So as we run down this list, you can just roll over the question mark, it gets a description of each one. You can use this drag and drop here to change the order for this report.

And this will attach only to this report. And then we can also remove sections entirely. So for this particular report, we don't want to show the coming soon to the contingence, we can take those out by just unchecking those boxes and save it and now this particular report won't include those sections. So you have it, that is the way you can set up an individual market watch report. This one, like I said, is specific to the customer that you're setting it up for. So you can really fine tune it for them to make it as engaging as possible for that customer based on the kinds of properties and the areas they're interested in.

Now, the next thing we can do, we'll go up here and we'll click on marketing and go down to market watch reports. There we are. Now, I could also get to this page by just going up here to the top and typing in market watch reports to our quick actions bar. And you can see, I didn't type much in there. Let's try that, I'm trying to narrow it down a little more. There we are, market watch reports and if I click on that, that would take me to this page as well so just an easy shortcut there. Now, from here, this allows me to set up a bulk market watch report. So when I do add a report, all of the options to define the market and fine tune the information, the report, all of those things are the same. So if I click on ad market watch report, you can see I have essentially, the same options here.

So I'll click on by market and you can see all the options that we're used to. The only thing that is additional here is that if we scroll down to the bottom, we have this custom image. This is for social sharing so if I create one of these and I want to share it on social, this custom image is the one that, we will tell the social media platform is the preferred image, the preferred thumbnail image to share with this report. We can't force them to use that image but we can go as far as suggesting it. So that's what we're looking at here other than that, it's exactly the same. So you would just fill this out, click done and you would be finished with that. That would add the report to your list here and then you can go forth with setting it up and however else you'd like.

Harley:

So from here, you can see that I have a Canton bulk market watch report set up. So some of the things that I can do is it just gives me a little information. I can choose whether I want to allow social posting of this one. So if I don't allow it, that means that social connector if it is turned on... So if you click on social media here, you can attach your Facebook account and have it auto post to Facebook. And then we do have other videos on setting up social connectors so there's plenty of detail there. But this tells social connector that it is allowed to post this. So right now quarterly is the frequency so basically, the system will automatically regenerate this report with more data every quarter when it does, if this allow box is checked, social connector over here will know to pick up this report because new data was generated and then repost it to your social account. If you don't check this box then it just won't pick it up when it regenerates and it won't post to social.

Harley:

Now, the next thing we can do is we can adjust the frequency here which is how often this report regenerates is really all that's doing. We have a date here and as you can see, that is the next time it is scheduled to regenerate. So this is quarterly. So based on the interval that it's set up 07/14 is the next day that this one will generate with new data. And the next thing we have here are, and I'm just skipping over actions for a second. But we also have some quick share buttons here so I can just click this button and share it immediately. So I don't have to wait for social connector to do it automatically, I can share them whenever I'd like right here. I can also copy the URL of the social share version which basically includes that image and doesn't include an introduction paragraph like the personal ones do. And I could share that any way I'd like. So if I copy the report URL, I can paste it into my browser to see what things will look like.

Harley:

Or I can email that out to a customer if I'd like, if I just want to send one to them real quick and not set up one that's going to go to them, like a recurring one that'll go to them. Now, under actions, if I click on that, I have the option of loading up the print version which we saw what that looks like, the email version so just a representation of what that email report will look like. And if I click email, I can choose what customers I'd like to email it to and I could email it to myself if I just wanted to take a look at it.

Harley:

Next, we have the preview social. This will just give us a look at what the social share version of this looks like which looks very close to the email version, generally. But it'll depend on which template you have chosen and we'll get into that here in a minute. Then I can preview the email here so if I don't want to email it out and treat myself as a customer, I can just send out a preview email. Next, I have a market data button. You can see that opens up some market statistics and if I click send, that'll take this content and it will pipe it over to the email blast system where I can then take that and I can send it out to whatever customers I'd like, just using the email blast system. Next I can add to customers so if I click that, I can either type in a customer name or even a customer group in here and click done and that will attach this market watch bulk report to all of those customers at once.

Harley:

The next thing I can do is I can then edit my report, I can delete it. And then if I do have this report attached to customers, I can view this customer activity and it will show me the activity for all of the customers it's attached to. So you can see, I do have this one attached to some customers so it lays those out here. Now, let's take a look at Alan Partridge here, so I can click on this button just as a quick shortcut to get to that customer's profile page. And if I scroll down to his market watch section, you can see there is our Canton City bulk market watch and I can't edit it from here. If I click that, it tells me why and I can click here to go back over to that market watch's page if I want to make changes.

Harley:

The reason for that is this report is controlled by the bulk market watch. It's maintaining that association so that if I go back to that bulk market watch page, in fact, we'll click on edit and then click over here to these user market watches, is how the system labels them. If I make any changes to the market watch here with the exception of the frequency, I can still control the frequency on a per customer basis if I have this attached to multiple customers. So I could have some people getting this report quarterly, some getting it monthly but they're all getting the same report. Aside from that, any change I make to this will automatically be applied to the market watch report for all the customers it's attached to. So that way I can have this looking at a market if I want to [inaudible], let's say it's looking at a map area and I want to tweak that map area and have it update for everyone all at once, I have the ability to do that.

Harley:

So that is how that is set up and that's why you can't edit those and why they look different when you actually, look at the customer profile page. So you can still see they're attached but you can tell that it's attached as a bulk market watch and not one that's individual to them. So there you have it as far as setting up those reports. Now, if we go down a little bit lower here, you can see there are some market watch overviews. So this section is just a convenience piece that's automatically created for every one of these bulk market watches you created. So if I click on this one, you can see, it just gives me some statistics in the last seven days. I can take a look at the last 30 days. So just some quick market statistics for all the market watch reports I have set up.

So now just a few more things to look over on this page. Now, add market watch, we took a look at that one. Now, the next thing we can do is we have the market watch settings button here. Now, this allows us to change the segments in these, this applies, this is like a default. So this order and which ones are included, applies as the default for all market watch reports I create and then also applies to all of these bulk market watch reports. So instead of setting it on an individual market watch basis, this essentially sets your defaults. So if you know that you never want to have a pending section, you can turn it off and then it's just always turned off. So that way you're not turning it off each time you set up a market watch report.

Harley:

Now, the next thing you can do is under this templates tab, you can select which market watch template is used for the different kinds of market watch reports. So as we went over these, we saw that there's an email version, a print version and a social share version. So here we have market watch type email, I can just cycle through this list. And if I see one I'd like to use better, I can just click on that one. It's now selected and if I save it, that's the template that will be used for all of the email market watch reports from that point forward. I can switch to print and from there it shows me all the print templates that are available. So again, I would just select and save and that would save that template and then social media exactly the same way. So I can just run through the list.

Harley:

These are all of the social share templates, I can select the one I like and click save. Now, in many cases, the templates are very similar from one medium to the next. So there is an email template with a print template that looks a lot like that and with a social share template that looks a lot like that also. So you can follow that theme through each one if you'd like or you can select something totally different so it gives you the freedom to do that there. So we'll close that out. Now, the next item that we have here is automation. This allows you to have a market watch report set up automatically for customers that make a request on the website. So anytime a customer goes to your website and they request either a showing or request additional information on a specific property, if they don't have any market watches already, the system with this turned on will automatically create a market watch for them that is centered on whatever property they made the request on and includes all the properties in a radius of whatever you have selected here.

Five miles is what we default that too but you can change that to whatever you'd like. And then you can also control what the frequency or what the interval for sending out those market watch reports will be whenever the system automatically creates them. So there you have it, you would just set these up click save and then those would be created automatically every time someone makes a showing or an information request on a property on your website. So there you have it. There is the market watch report system. Now, we took a look at both the personal sides so the individual market watch reports and the bulk or the user market watch reports so now you know what you can do with the market watch report system.
