In this Tech Tuesday, Harley Wolfarth demonstrates some of the special functionality associated with team accounts in the DeltaNET.

Harley:

Hello, welcome to another edition of Tech Tuesday presented by Delta Media Group, where we've been listening to the B-52s for years. And for the life of us, we still just can't quite figure out what tin roof rusted is supposed to mean. Like I get from your context clues that it could mean some things, but it's just not really clear. All right, so today we are going to take a look at team site functionality. So the idea here is we're going to kind of look at this from the perspective of a team leader. So if you are a set as a leader of a team, you're about to find out some of the functionality that you can do with that new found power.

Harley:

So first off you can see where we are, we're logged in. This is kind of the standard login page or a representation of the standard login page that you would land on when you first log into your own account. Now, if you're a team leader and you click on your name up here in the top right, you'll have an additional option to go to team site. So we'll click on that and you can see it takes us through. And now we're essentially authenticated as the team. This is just as if we had logged in as the team. However, there's not really a way to do that. The whole idea is that you log in as you as a team leader and get into the team account this way so. So that's where we are.

Harley:

We're looking at the personal side of the team account. So here anything that I do, anything that I change won't pertain to my account specifically, but rather pertain to the team account and the associated team website and any leads that are assigned to the team. So first off, we'll take a look at some of the initial team functionality. So if I go down here and I click on website, there's an option down here to manage team. We'll load that up and you can see it shows me the team roster down here. And this is a tiny team with just two people.

Harley:

But if I had more people or more team members, I would be able to use these arrows to move things up and down and change the order in which those team members will be displayed on either the team roster page or on the homepage of the website if I'm using a website that does have a team member display like that. And that really just depends on the theme you use. So when you go to website and then down to site design and you choose from your website themes, some of those will be labeled as team themes that have a section like that.

Harley:

Now the other thing I can do here in addition to moving these up and down as I have my team settings, so I can click on that. And you see I have a few different options here that are available to me. Some of this has to do with a lead that comes in. If a lead comes in on the team site and it's delegated out to somebody, that team member, you have some information about who should be assigned to, who they should work with. And you have a few different options there, either whether it was the last person they worked with or the first person they ever worked with.

Harley:

You can enable the team photo and the team name in all of the agent emails. So what that means is for all the team members, if you'd like team photo and the team name to show up in the emails like the marketing email sent on their behalf, turning these on turns that on. And then you can also hide the team member phone numbers on the team side, which is what this last checkbox does. And the reason that it would do that is so that when anybody makes a call. So if somebody is on the team website and they make a call, they're not calling the agent directly, but rather calling like a team number where you can pick it up and give that lead to the team. Because if they contact the agent directly, they're essentially is that agent's lead. And there's nothing wrong with that. It's just a matter of an option that you have because every team likes to do things just a little bit differently.

Harley:

So we keep this thing very settings-based so there are a lot of things you can turn on and off. So there you have it. So there's the basics there. So we'll close out of this. The next thing that we can take a look at here is if we go to website and down to pages, we'll see that there are a couple of custom pages that only exist within a team account. So I'm in pages. I'm going to go to new page and we'll go over here to predefined page. There we go. And we're at predefined page link. So this is where we can select from all of the kind of pre-built pages. One of the options here is team reviews. So what that does is every team member who has reviews entered into their own reviews system through their own personal login, those reviews will show up on this team reviews page that only exists on the team site.

Harley:

In fact, I've got one set up here, so we'll be able to take a look at that. Now, also there is a team roster page, which this will show every member of the team on its own dedicated roster page. So all I would do to turn these on is I would select from my predefined page. And just like if I were setting up a page on my own personal account, I would choose my predefined page, give it a link title. I can choose whether or not it's going to show up in the top navigation on the website. So I could say a navigation menu and we'll call it meet our team and then set the page title the same way.

Harley:

And then if I went down here and saved it, there would be a new page in the top navigation of my website because I chose navigation menu that would say meet our team. And when I clicked on it, it would take me to the team roster page. Now, the next thing we can do is a lead that comes in and gets assigned to the team is effectively assigned to that team account. So at that point, the idea is that the marketing and everything is meant to go out on behalf of the team, all the branding will be the team itself like the team overall.

Harley:

However, in many cases, you might not want the team necessarily to work that lead, but an individual team member. However, you want the team account to maintain ownership over that lead. So that's what team delegation or lead delegation rather is for. So if I go up here to CRM, now we don't have any new leads, but this would work for us if we had new leads as well, just new unprocessed leads. But we'll just go down and we'll take a look at an existing lead we have. So I'm just going to scroll down. You can see we've got a test lead down here. So let's say that this customer came to the team website and they asked for information on a listing.

Harley:

So I'm going to go into their profile page. And then from here, let's say that I know that I want a team member to work this, but I want to be able to pull it back to the team if I want to. So I'm going to click on delegate and I'm going to choose the team member I want to delegate this lead to, and I'll leave this unchecked so that it sends them a notification. And then I'll just click on update and that will delegate it. Now alternatively I could click on broadcast here and it would actually broadcast the lead out to all the team members. But in this case, I picked a specific one so we're going to give it to that one.

Harley:

So we'll click on update. There we go. This page refreshes. And now you can see that this lead's still in here, it's still accessible from the team account. It says up here that it's delegated and who it's been delegated to, so it makes it real easy for you to notice that when you actually go to the profile pages here. And you can see the assigned agent is now listed as the team member that I delegated the lead to. Now if I want to pull this lead back, I can go over here and I can click on reclaim lead. So let's say that person I delegated it to, let's say they left the team and I want to take the lead back from them so that I can give it to somebody else on the team, or maybe they don't have the capacity to work that lead the way I wanted them to so I want to give it to someone else. I can reclaim it in the delegated to someone else so I can click on reclaim and then it automatically sets, or has the customer laid out up here.

Harley:

I can choose not to send the notification email if I want to with that same check box and then update and I'll let our page reload and there you go. So now the ownership of this lead has been pulled back to the team account and the delegated tag has removed down here or has been removed and assigned agent is now set back to the team account name. So there you go. That is how you can go in and you can pull those leads up and delegate them out to specific people.

Harley:

Now the other thing I can do is we'll take a look at what that looks like for a new account. So if I go to the profile page from my team account here and we're going to preview the team website. There we are. The best team, the best of the best. And I will just pick a listing here and I'll go ahead and request some information. I always like to say that it's a test lead. We don't want anyone getting too excited. There we go. So now if I go back into the DeltaNet and we go to our CRM. There we go. You can see that we have a new lead here. And now straight from here, I can actually delegate that lead or I can go over here to process it. And from the processing page, I can go in and delegate it from here as well and delegate.

Harley:

And you can see that it opens up that same modal. And then from here, I can just choose who I want to delegate it to and delegated immediately, or I can click on broadcast and broadcast that out to all the team members. So that way they pick it up and they actually work the lead, and then it still belongs to the team so I can still pull it back into the team if I need to.

Harley:

And now, lastly, in order to get back into my own account, because I did authenticate I'm all in the team account here. I can go up and click on my name up in the top right. Well, not really my name, the team name in this case. And then go back down here, switch to your profile. And that takes me back into my own personal site and back into my own profile.
