This video demonstrates how to create and email blast populated with listings. The listing can be defined based on any search criteria you choose.

Harley:

Welcome to Tech Tuesday presented by Delta Media Group, where we recently extended a job offer to The Invisible Man. He turned us down though. He said he just couldn't see himself doing it.

Harley:

So today we are going to take a look at a way that you can go into the Delta net and you can pull up a list of properties with a property search and pipe those over to an email blast so that you can send out this pre formatted email containing a list of whatever properties you choose. And I say list, but it's really, well formatted laid out display of all the properties that have shown up in your property search. So to do this, what we'll do is go down and click on listings and you can see that there is a link here for property search. Now these tiles are customizable on a per company basis.

So if you don't see that tile here, you can also go up and type property search. If you type it, if you spell it correctly. There we go. Up into the quick action search bar. And one of the results here is property search. So either way, if I click on property search, it will take me to this property search page in the Delta net. Now from here, the first thing it will do is prompt me with different options for me to define what area I'd like this property search to look at. So we can go by market. In which case I would type in a market name, like a city name or a subdivision name and get back all the listings within that city or subdivision. You can also do a school district, a variety of different markets that way. You can go by MLS ID, where you actually type in the MLS number of the listings that you'd like to return in the search.

Harley:

You can do radius, which lets you define a circle on a map basically. So you set the center point and then how large of a radius you would like. And it will return all properties within that circle. You can do by area, which allows you to draw a polygon on a map. You can do by boundary area. So these are boundary areas that the company has defined, so custom boundary areas, but there are also public record boundary areas. So these can be particularly nice for doing or returning all listings based on a school, a specific school's attendance area or a school district where it's actually drawn out the school district on the map. And it just returns everything from within that polygon that it creates. And then if it's enabled for your company, you can also do a drive time search.

Harley:

Now for a drive time search, what you would do is select or basically type in an address. And then based on that you can enter how long of a drive or how far away or how long the drive would be to get there. So a better way of describing it is let's say that I would put in someone's workplace address. And then I would say, show me every property that is within a 30 minute drive at eight o'clock in the morning. And then it would show me. Basically it would draw out a polygon area for me automatically and return all the listings that fit within that area. So that I know every listing I'm looking at will take a half hour or less to drive to that address at eight o'clock in the morning. So kind of a neat one. So we'll go ahead and go by area and you can see that when I choose any of the map based options, it's going to load up a map here.

Harley:

So we'll just click in a few spots and then I'll draw our polygon out. So there's our area and now we'll click next and you can see it updates to just results in that area. So once I've defined my area, we can look under locations and we can see I have a polygon area already included here. But I do have an additional option to exclude areas from this. So let's say I wanted to cover all of a single city, but I wanted to leave a specific zip code out. I'd have the ability to do that here. So if I had searched my market, I could go here, type in that city name and select that. And then under exclude, I would type in the zip code I'd like to exclude and leave those out. So you can see that this search has a little bit more power than the front end public search does because you have the ability as an agent to go in here and define listings based on some more specific criteria than a customer would generally use on the public site.

Harley:

So next we have filters for property type. So we can choose our property status or specific property types if we'd like to narrow this down, based on that information. We have property details where we can do things like when that was listed, price, whether there's been a price reduction and how long ago that price reduction was. Same for price increases, beds, baths, so all that kind of standard criteria here. We have some additional filter options for some kind of specific parameters that are available to you. So you can select from any of those. And there's also a section for, you can see this is a test site, but your company may have some custom search fields as well. And those can also be taken into account here. And then another thing you have here in this property search that the customers don't have on the public website property search is you can actually use MLS specific criteria.

Harley:

So the biggest thing to keep in mind with these different MLS criterias is that if I open one MLS and I select a criteria specific to that MLS, I can't add criteria from any of the other MLSs because this criteria only exists at this one. Hence it can only return listings from this MLS. So just keep that in mind, if you do choose any of the MLS search criteria. However, as these generally cover specific areas, you can find that they can be very powerful when it comes to really getting specific with the kind of listings you get back in this search. I have to move over a bit further. We can also break this down to only listings that are listed by agents in a specific office. So you have that ability as well. And then lastly, we have this search summary page that allows you to see some details about all the things you've selected.

And you can even save this as a template so that you could use this search over and over again. If you have saved this as a template or saved any other templates, you'll have some templates up here in this dropdown that you can use to pull those up automatically. So if I already had a template saved and I wanted to use that one, as soon as I opened this page, I'd have just gone over to search summary and selected my template. So we'll go ahead and close that out. Now, once you've defined the listings and we'll go ahead and get rid of our polygon area so that we have lots of listings to look at here. And let's just go in and define an area by radius. So we have a nice big area to look at and lots of listings to include in our email here.

Harley:

So you can see, we have kind of an enormous area defined here. So we'll just go ahead and define that one. There we go. Now you see, we have lots of listings. So now what we can do is if I like these listings the way they are, and I want to put these into an email blast so I can send those out, I would just click on email results and all of the results on this page would be piped into an email blast. So what I'll do instead is I'll check this customized results button, and you can see that a remove button appears down here as well as a feature button. So we'll go ahead and remove some of the listings we don't want to include in our email blast. There we go. So now we have a more specific one. We'll remove these ones that don't have any pictures, because they won't look very good in our email blast.

Harley:

There we are. So now we have our subset of listings defined and I'll go ahead and feature a couple of them here or rather feature one of them. So we have our featured listing. This one's prettier. Let's go with this one. So there's our featured listing and our customized set of listing results. Now I could also check this box to feature open houses. So what that would do is in my email that this builds out, it would actually feature any listing with an upcoming open house as well. But as I don't have any upcoming open houses here, we'll leave that off. We'll go ahead and pull that one out also, because it doesn't have a picture. So here's our listing set. And now that I'm happy with this, I'm just going to click on email results. Now you can see that pipes us over to the message blasts interface, and specifically we're in an email blast.

Harley:

So now from here I can set this up like any other email blast. So I can go here under two. I can start typing the name of a group. I have a valid email group. So I could select that. I can type out other group names here. I can type out individual customer names. And you can see that it'll bring up results for those as well. And as I select them, it just adds into the list. Now we also have the all marketing customers group, one of our prebuilt groups. If you'd like to use that to just send to everyone, I would just select that there.

Harley:

Now from here, I can go down to my copy field, my CC field, and I can add some more there. I can also BCC users and all of those fields work the same way when it comes to defining recipients. Now, in addition to this, I can CC myself on this email. Now the nice thing about being able to do it this way is I don't have to set myself up as a customer and my own CRM to email myself. I can just check this and then I'll get this email at the same time my customers get it. Another thing I can do here is I can define this email to go out later if I'd like. So by default, it is going to be set to send out at the time I'm in here using this interface, but I could click this little calendar over here and I could say, I'd rather it goes out on Friday.

Harley:

So I just select that and you can see it updated the date to August 5th, which in this case is this upcoming Friday. Next I would define my subject. I can add some small attachments to this file if I'd like. You can also see that there are system variables available for the subject. So if I click on that, you can see that I can actually drop the customer's full name or even my own name right here into the subject line and have it be dynamic. So it's going to make the most sense for the customer's name. So if I say customer first name, check out these properties I found for you.

Harley:

So if, for example, I had a group of customers that were all interested in similar properties, that'd be a very useful tool for me. I could target this email to go out to just that group and then I could actually have the subject line fill in with their name. So it's that much more personalized for what they receive. Now we scroll down a little bit. Here in the content section of the email you can see that here's my featured listing up here at the top, along with a link back to my website, specifically to that property's detail page on the website and a link to my contact page. And then as I scroll down, you can see all of those listings are in here and each of those has those buttons as well, so that they can go through and actually get to the detail page on my website for each one of these properties if there are any that they're interested in.

Harley:

But basically what it's done is it's just filled out this email and formatted it nicely so that it's easy to send out. And I didn't have any legwork there to set this up so that I can send out an email blast very easily that features all of these listings. Now the other nice thing here is because this is set up as an email blast, all of these things are editable to me. I have fine grain control over anything I'd like to modify here. So if I want to change this city name, I can do that. If I'd like to change the way beds and baths are laid out for this property, I can do that. All of these things are editable to me. I can take this picture out. I can replace it. I can turn the picture into a link to something else. So I really do have full control over the content of this email. All it's done is just prebuilt it for me so that I can modify it if I want to, but I don't have to.

Harley:

Next I could actually take my cursor and I could go down and I can add more content above or below this content. So I could go up here and we've got a table here. We'll just hit return. And now you can see I've moved down the main content a little bit and I could type a message here. And I can put in whatever content I'd like, because this is the full email blast whizzy wig editor. I can add in pictures. I can add in links, or I could just have an intro message that I put up here at the top. So the whole thing is very customizable for you or as customizable as you want it to be.

Now, once my email's all built out, just like any other email blast I can just click send and that will send this email out to all the recipients that I've set up up here in the two, the CCC and the BCC fields. I can send a preview. And if I click on that, it automatically populates with my address, but I could change that to an alternate address if I wanted to and just click send preview. And then I'd actually be able to see this in my email before I send it out to the full groups. And the standard email blast controls from here. So if I click on new, that would clear all this out and start me with a fresh email. Refresh, save this draft, save this template preview. So all of those different options that are available with all email blasts are available to me here.

Harley:

Now, as we scroll down a little bit further, we just have all of the controls that are part of our standard email blast page. So drafts and templates. I can open that up and see those. But generally when you're sending out an email like this, those won't really apply. History, so that once I've sent this, I'll be able to see it in my history here, along with all the other email blasts I've sent out. The other nice thing here is that when I click on the history button for this email, it will actually show me stats related to that email. So this will be things like how many were sent, of those that were sent, how many were clicked on by the recipient and how many were opened even by the recipient. So I can get all those stats for every email here and including this email, just like any other email blast.

And then lastly, we just have the section at the bottom of our email blast page for email blast overviews, which just gives you some information, just a little video that gives more information about this email blast tool. So there you have it. Typically in order to send these out, I would just go into my property search, build out my list of results the way I want it to, set my recipients, set my email subject, and then go down here and click send. And that's all there is to it. From there I have sent out this email blast featuring whatever properties I'd like.
